Control guide
Fuel security and out-of-hours activity
Investigate unexpected fuel use with a clear record of access, dispensing and tank movement.

01Start with the normal operating pattern
Early departures, late returns and generator use can explain activity outside office hours. Record the site’s expected shifts and users before treating an unusual time as evidence of misuse.
02Use two different records
An authorised transaction can identify the user, vehicle, time and quantity issued. Tank monitoring measures stock movement. Compare both over the same period: a tank drop alone does not identify the person or cause.
03Investigate the exception
Check the identifier assignment, vehicle capacity, delivery record, timestamps and any authorised manual issue. Review repeated patterns and preserve the underlying records. An anomaly is a reason to investigate, not proof of theft.
04Maintain access as the fleet changes
Remove obsolete access, review shared identifiers and agree how lost tags are replaced. Match the identification method to the operating process, including DataNozzle where specified.
05Plan how alerts are handled
Agree the available alarm conditions, recipients and escalation arrangements for the supplied system. Check communications status and the age of a reading. Remote visibility depends on the installed communications and configuration.
Practical guidance
Worked example: early starts and exceptions
Illustrative records below explain a manual review; they are not customer results or a promise of automatic alerts.
| Observation | What to compare | Possible next step |
|---|---|---|
| Three known vehicles refuel at 05:15–05:45 each weekday | The shift roster, authorised identities, usual quantities and dispatch times. | Treat an established early shift differently from unexplained access; keep the agreed pattern documented. |
| A familiar vehicle records 180 litres instead of its usual 60 | Tank capacity, previous issues, transaction completeness and current duty. | Check the record and operational explanation before drawing a conclusion. |
| An unrecognised identity appears on Sunday | Access-device assignment, maintenance work, authorised changes and the source time zone. | Ask the responsible manager to verify the identity and authorisation. |
| Stock falls with no matching dispenser issue | Reading timestamps, deliveries, other outlets and measurement/configuration changes. | Follow reconciliation and site-safety procedures; a difference alone is not proof of theft. |
